Meeting Guidelines
Take a look at our Meeting Guidelines section so you can be well prepared and set up for success.
Before Meetings
- Outline Working Hours: Clearly outline your working hours in Slack and your calendar. Everyone is approachable at Bito; however, before scheduling a meeting with someone outside of their normal working hours, please check with them first by sending a quick message.
- Share the Agenda: Share the agenda with meeting participants ahead of time. This gives everyone a chance to review the discussion topics and gather any additional information they may need to come prepared.
- Review Prep Materials: If any material is shared in preparation for the meeting (such as a Loom video, document), all participants should review it beforehand so everyone starts with the same context.
During Meetings
- Review the Agenda: Start the meeting by reviewing the agenda and give everyone an opportunity to amend it. This keeps everyone focused on the topics that need to be discussed, ensuring no single item takes over the entire meeting.
- Define Desired Outcomes: Be clear about the desired outcome of the meeting. Whether the meeting is for brainstorming new ideas, sharing context, or making decisions, ensure that clear action items are outlined and assigned to their respective owners.
After Meetings
- Documentation! Store your meeting notes in a space where any attendees who couldn’t join the meeting can reference at a later point. We primarily use Slite for this, product uses Coda for product management stories, and engineering uses Confluence. Please record the meeting if possible to store if for anyone who could not attend live
- If post-meeting action items were assigned to owners, be clear about timelines on next steps and when it next makes sense to check in on updates
